All personal data processed by Calex UK is within the scope of this procedure. This procedure excludes personal data that is asked of as a matter of routine by data subjects e.g. holiday or pay information.

3. PROCEEDURE
3.1 Subject Access Requests must be made using the Subject Access Request form.
3.2 The data subject must provide evidence as to identity, in the form of a current passport, driving license, birth certificate, and the signature must be cross-checked to that on the application form.
3.3 The data subject must identify the data that is being requested and where it is being held and this information must be shown on the SAR application form. Note that the data subject is entitled to ask for all data that Calex UK holds, without specifying that data.
3.4 The date by which the identification checks and the specification of the data sought must be recorded; Calex UK has one month from this date to provide the requested information. There are no circumstances in which an extension to that one month will be provided, and failure to provide the requested information within that one month is a breach of the GDPR.
3.5 The SAR application is immediately forwarded to the Data Protection Officer / GDPR Owner, who will ensure that the requested data is collected within the time frame. Collection will entail either:

identity to be revealed.
3.8 If the requested data falls under one of the following exemptions, it does not have to be provided:

Any data held can be requested and provided through formal Subject Access Request by contacting the Data Controller. If we need to keep your data for business purpose and audit we reserve the right to hold this data for 6 years. After this period you may request for your data to be removed.
DISCLOSURE TO GOVERNMENT AND THEIR AGENCIES
We are subject to the law like everyone else. We may be required to give information to legal authorities if they so request or if they have the proper authorization such as a search warrant or court order. We also share data with Government Departments such as the Education and Skills Funding Agency for the purpose of delivering UK apprenticeships and may be subject to external audit for financial and quality purposes.
